Introduction:

AustralianAccommodation.com Pty Ltd, has the pleasure of introducing SAMARIS.NET a web based commerce system, which has been specifically designed to provide you with an easier and more profitable administration of the maintenance activities performed within serviced apartment operations.

Apartment Maintenance Module:

The apartments maintenance module offers managers a comprehensive set of tools to manage all apartment maintenance activities on a day to day basis. Some of the tools within this module include:

  • Add A Replacement Inventory Item / Edit A Replacement Inventory Item.
  • Add A Replacement Item Transaction / Edit A Replacement Item Transaction.
  • Add A Supplier / Remove A Supplier
  • Add a Supplier Stock Item / Edit A Suppliers Stock Item.
  • Add A Maintenance Item / Edit A Maintenance Item.
  • Add A Maintenance Item Transaction / Edit A Maintenance Item Transaction.

As every transaction requires the time taken to perform a maintenance activity to be recorded, the "system" will automatically calculate the labour cost for that activity by referring to the labour cost schedule contained in the "system" for each resort.

The system will automatically mark up the unit price of each replacement inventory item by referring to the mark up schedule contained within the system for each resort.

Body Corporate Maintenance Module:

The Body Corporate maintenance module offers managers a comprehensive set of tools to manage all Body Corporate maintenance activities on a day to day basis. Some of the tools within this module include:

  • Add A Body Corporate Replacement Inventory Item / Edit A Body Corporate Replacement Inventory Item.
  • Add A Body Corporate Replacement Item Transaction / Edit A Body Corporate Replacement Item Transaction.
  • Add A Supplier / Remove A Supplier
  • Add A Suppliers Stock Item / Edit A Suppliers Stock Item.
  • Add A Body Corporate Maintenance Item / Edit A Body Corporate Maintenance Item.
  • Add A Body Corporate Maintenance Item Transaction / Edit A Body Corporate Maintenance Item Transaction.

Apartments / Body Corporate Work In Progress (W.I.P.) Module:

The Apartments Work In Progress (W.I.P.) Module offers managers a comprehensive set of tools to record maintenance jobs reported to reception by Guests or Resort Staff whether it relates to an apartment or the Body Corporate. Some of the tools within this module include:

  • Add an Apartment / Body Corporate W.I.P. Activity.
  • Edit an Apartment / Body Corporate W.I.P. Activity.
  • Apartment / Body Corporate W.I.P. Activity Reports.
  • Send maintenance request direct to maintenance staff mobile phones via SMS.

Productivity Reports Module:

When entering a maintenance activity transaction each transaction must include:

  • Date of the maintenance activity.
  • Name of the staff member or department who performed the maintenance activity.
  • The time taken to perform the maintenance activity.

As a result of recording the above information the system is able to generate staff productivity reports. These reports indicate the amount of time a staff member has spent performing apartment or body corporate related maintenance activities.

Apartment Group Management Companies will be able to access the system at a Head Office level and gain access for Productivity Reports for all resorts.

Stock Control Module:

The stock control module allows managers to maintain stock on hand records. The module allows managers to perform full stock take recording activities. Some of the tools within this module include:

  • Recording the purchase of Maintenance Inventory.
  • Stock take Count Forms.
  • Stock take Inventory Valuation Reports.
  • Audit of Current Year Purchases.

Each replacement stock maintenance transaction will automatically decrement the stock levels on hand based on the quantity of replacement stock consumed with each transaction.

As a result the quantities of replacement stock on hand recorded in the stock control module should at all times reflect the quantity of physical stock on hand.

Apartment Group Management Companies will be able to access the system at a Head Office level and gain access for Group Stock Control Reports.

Apartment Inventory Module:

The Apartment Inventory Module allows managers to maintain a register of all physical assets within an apartment. Some of the tools within this module include:

  • Apartment Physical Asset Register
  • Add Physical Asset to an Apartment.
  • Edit / Delete a Physical Asset from an Apartment.

System Utilities Module:

The System Utilities Module allows managers to alter parameters that are consistently used within the system to generate the relevant reports. Some of the tools within this module include:

  • Labour Rate Schedule
  • Replacement Stock Inventory Mark Up Schedule
  • Update Apartment Status
  • Edit Staff Member Login Details

Property Management System (P.M.S.) Data Export Interface Module:

The system has a Data Export Interface Facility allowing managers to generate a data file, containing all the apartment maintenance activities recorded within the system including their appropriate charges to be posted to unit owner accounts.

This data file can then be imported into a resorts P.M.S. and have all the relevant maintenance transaction details automatically posted to the appropriate apartment owners accounts.

Financial / Management Group Reporting

SAMARIS is able to create customized excel spreadsheets that match a client's specific templates layout. Financial reports can be generated to compare actual / budget maintenance revenue in seconds whether it be current or historic data sets.

Owners Charges Report:

The Owners Charges Report allows managers to generate a report listing all charges that have been posted to an individual Owners Account. This allows the manager to quickly gain access to the information should he be questioned by an Apartment Owner.

Property Management Module:

  • Letting Agreement (PAMDA20A) Document Creation:

    The system generates customized PAMDA documents (Permanent / Holiday Letting) automatically specific to each apartment owner. The documents can then be either printed or emailed to the unit owner with the click of the mouse.

  • Advertise Permanent Rentals On Leading Real Estate Websites:

    The system can create advertisements to promote vacant apartments needing permanent tenants. By completing the permanent rental marketing form including photos and virtual tours the system will automatically upload the marketing information to leading Real Estate websites such as www.RealEstate.com.au with the click of a button.

  • General Tenancy Agreement And Supplementary Document Creation:

    Once the PAMDA(20A) documents have been created the system can generate customized General Tenancy Agreements for each apartment and tenant automatically. Customized supplementary documents such as Bond Lodgment, Notice To Entry, Notice Of Remedy Breach Forms etc can be automatically generated in seconds.
